One common reason is the amount of e-mail retained by individuals. Many users are packrats so they keep everything, and others would just rather be safe than sorry and save a message. Archiving allows vital information to be retained without hampering mail database performance.Domino administrators have numerous options for controlling mail database size, so a user is often restricted by the disk space consumed by their mail. Consequently, these users must regularly maintain the mail database either by removing non-essential entries or archiving. To help your users maintain a low volume of e-mail messages, teach them to archive using these step-by-step instructions.Archive setupLotus Notes help defines archiving as storing information no longer in use. Archiving requires a container to store the items, so an archiving database is used. Naturally, the first step in the archiving process is establishing the archive database. The Lotus Notes Inbox Tools menu provides ac

We have seen this error as well in Notes 6.5.5 mail files too. I have never found the exact cause, but it seems that "deleted" documents or deletion stubs are being included somehow in the collection of documents created by the archive now selection criteria. Then when the archive process trys to copy the document in question it fails with this error and quits. Users are still able to use Archive Selected Documents without seeing this error. Our work-around is to run fixup and compact on the mail file and also make sure that the Trash is emptied (so no soft deletes are still present). If the user can create a new local replica of the file with the error they may be able to archive now from that new replica. This works because the replicator will not copy the "broken document(s)". She is set up to the same settings as everyone else, with the archive folder being located on a server, but her archiving says nothing is being archived when she runs a manual archive. There also seems to be no trace of her a_username.nsf file nor the l_username.nsf file on the server share where everyone else's lives. When she clicks on the archive criterion in the folder list, it says her nsf doesn't exist. I am not very well clued-up on Lotus Notes, and I can't seem to force the system to make her archive databases. Any suggestions? Thank you. lotus-notes share|improve this question edited Apr 15 '13 at 7:55 J0e3gan 103116 asked Apr 14 '13 at 23:38 Sam George 111 What errors are you seeing on the mail archive server (assuming it's domino rather than a file server)? –booyaa May 2 '13 at 8:04 add a comment| 1 Answer 1 active oldest votes up vote 2 down vote If it's a server based archive you have to configure your Domino server to run the archive task based on a schedule. This will create the archive database based on the archive profile in the users mailfile. You can run the archive task once manually by issuing "load compact -a" on the console. share|improve this answer answered Nov 12 '13 at 10:09 user2035406 764 add a comment| Your Answer draft saved draft discarded Sign up or log in Sign up using Google Sign up using Facebook Sign up using Email an
